The type of personal information we collect
We currently collect and process the following information:
- Name and contact details, including telephone number and email address of organisational representatives applying for grant funding
- Personal information provided as part of application, including any images, case studies or personal stories where individuals may be identifiable
- Personal information provided as part of impact reporting including any images, case studies or personal stories where individuals may be identifiable
How we get the personal information and why we have it
Most of the personal information we process is provided to us directly by you for one of the following reasons:
- To apply for funding
- To receive funding
- To receive advice or support
- To provide updates to us on the impact of our funding
We also receive personal information indirectly, from the following sources in the following scenarios:
- We receive information about other individuals who work or volunteer for your organisation as a point of contact related to any of the above activity
- We receive images, case studies or personal stories related to applications or impact reporting, where the organisation providing this has appropriate permissions to share this with us
We use the information that you have given us in order to
- consider applications for funding
- to update you on the outcome of our decisions in relation to funding
- to provide advice and support
- to arrange and transfer funds that you have successfully applied for
- to request and receive updates on the impact of our funding
We may share this information with data processors who work on our behalf and with any organisation where we have a legal obligation to provide the information.
Bases for processing
Under the UK General Data Protection Regulation (UK GDPR), the lawful bases we will usually rely on to process your data will be:
- Our legitimate interest in processing your data to achieve our charitable aims and to ensure we consider applications, provide funding and review the impact of our funding.
- There may be occasions we ask for your consent to process your data, for example if we wish to contact you about wider opportunities to engage with the organisation. Where we rely on consent you would be able to remove your consent at any time by contacting us at hello@sevenfriends.org
- Where we have a written agreement in place with you, we will process your data on the basis of a contractual obligation.
- Where we have a legal obligation to provide information, for example to a regulator such as the Charity Commission, we will process your data on this basis.
How we store your personal information
Your information is securely stored.
We keep personal data related to unsuccessful applications for 6 months, at which time applications will be anonymised, with only non-personal information related to the application stored such as organisation name.
We will keep personal data related to successful applications for six years after any fundraising agreement has ended to ensure appropriate records are kept for auditing and legal purposes.
Your data protection rights
Under data protection law, you have rights including:
Your right of access – You have the right to ask us for copies of your personal information.
Your right to rectification – You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.
Your right to erasure – You have the right to ask us to erase your personal information in certain circumstances.
Your right to restriction of processing – You have the right to ask us to restrict the processing of your personal information in certain circumstances.
Your right to object to processing – You have the the right to object to the processing of your personal information in certain circumstances.
Your right to data portability – You have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances.
You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
